What we run
What we run
Every one of them has a dependency on the others. That is exactly why they should not sit with five different suppliers.

Travel for every attendee
Attendees arriving from different cities on different days, tracked as one manifest.

Proposals
Comparing options side by side
Event decisions are made by committee, and committees cannot decide from a PDF with one answer in it. Our proposal workflow puts several destinations and several options against each other, and keeps the discussion attached to the thing being discussed.
“Inclusions and exclusions written out per option is the single change that removes most of the arguments later.”
Each destination carries its own options, each option carries its own costing, and every one of them states what the number covers and what it does not. That last part is what stops a comfortable assumption becoming an invoice dispute in month three.
Activities and the day-by-day flow are attached to the option rather than described separately, so the experience is part of the comparison rather than a footnote to it.
Questions and decisions stay on the proposal. When somebody joins the conversation late, the history is there - nobody has to forward a chain of twelve emails and hope the right one is in it.
When an option is selected it carries straight into execution, so the thing that was agreed is the thing that gets booked.

Inside an event
What a multi-day event involves
Day one
Arrivals before the agenda starts
Attendees come from several cities on several flights. Building the agenda against the real arrival manifest, rather than the other way round, is what stops the opening session starting half-empty.
- Multi-origin arrival manifest
- Airport-to-venue shuttle loops
- Early check-in for early arrivals
The main programme
Plenary, breakouts and movement between them
Room turnover, AV, catering windows and the walk between spaces are all scheduling constraints. We plan them with the venue rather than discovering them on the day.
- Venue and AV coordination
- Realistic session turnover
- Catering aligned to the agenda
The evening
The evening programme
Awards nights, gala dinners and activity evenings need their own logistics - seating, transport back to the hotel, and a contingency if the weather turns.
- Dinner and awards logistics
- Late-night transport back to hotels
- Weather contingency for outdoor evenings
